Full Job Description

About the Role

Are you an organized, proactive professional who enjoys keeping teams running smoothly? We're looking for a Part-Time Administrative Assistant to support two General Managers and a team of approximately 70 engineers. This is an excellent opportunity for someone who thrives in a fast-paced environment, enjoys multitasking, and takes pride in providing exceptional administrative support.

If you're detail-oriented, customer-focused, and enjoy being the go-to person for organization and coordination, we'd love to hear from you.

What You'll Do

Coordinate department meetings, events, and off-site activities.
Prepare meeting rooms and assist with meeting logistics.
Process and track purchase requisitions, purchase orders, invoices, and payments.
Prepare and submit monthly accruals.
Support new hire onboarding by coordinating equipment, system access, and workspace setup.
Arrange domestic and international travel for team members.
Coordinate visitor access, badges, guest Wi-Fi, and other visitor needs.
Assist with travel and logistics for international visitors.
Maintain department reference materials, organization charts, and administrative documentation.
Order and maintain office supplies.
Distribute incoming mail and support daily office operations.
Provide additional administrative support as needed.

What We're Looking For

3–5 years of administrative or office support experience.
Strong organizational skills with the ability to manage multiple priorities.
Excellent verbal and written communication skills.
Outstanding customer service and interpersonal skills.
Proficiency with Microsoft Office (Outlook, Excel, Word, and PowerPoint).
Experience using SAP, Ariba, or similar purchasing systems is preferred.
Ability to work independently while collaborating effectively with a team.
High level of accuracy, professionalism, and attention to detail.
Basic Japanese language skills are a plus, but not required.

Additional Requirements

An Excel assessment is required. Candidates must achieve a score of 80% or higher to be considered.
Background check and drug screening required.
Some college education preferred.
