Full Job Description

Overview
Here we grow again. Nevada based Commercial Registered Agent firm with offices in Carson City, NV and Cheyenne, WY seeking a dependable, detail-oriented professional to support our daily office operations. This position is based in our Carson City office and will serve as a key point of contact for clients, vendors, and state agencies.

The primary role for this position will be to assist with state and county business filings, service of process tracking, document handling, and account management. The ideal candidate is professional, organized, tech-savvy, and comfortable working independently while contributing to a collaborative team environment.

Duties

Receive, document, and forward service of process.
Coordinate and submit county and state business filings.
Copy, scan, file, and organize physical and digital records
Receive, sort, and process both incoming mail and outgoing mail
Schedule appointments and manage phone messages
Manage client renewal reminders and assist with billing follow-ups
Prepare and maintain invoices using CRM software (Database experience a plus)
Assist in improving billing workflows, including automated emails and notifications
Maintain and organize internal digital systems, shared drives, and file structures

Skills

Minimum 3 years of office experience required; clerical or administrative experience strongly preferred
At least 3 years of administrative/reception or customer service experience preferred
Comfortable providing professional customer service digitally, in person, and over the phone
Proficiency in Microsoft Office required
Experience with CRM systems, databases, billing/invoicing software, and phone systems is a plus
Strong attention to detail and ability to follow established processes and protocols
Ability to work independently, manage workload, and meet daily and weekly deadlines
Professional demeanor with a positive, team-oriented attitude
