Full Job Description

Are you someone who keeps everything running — the person everyone turns to when they need answers fast? Do you thrive in a high-energy environment where your ability to communicate, organize, and follow through actually moves the needle?

We're a growing roofing and restoration company serving homeowners across West Texas, and we're hiring a full-time Insurance Coordinator to become the communication backbone of our operations across our Texas and Nevada divisions.

This is not a paper-pushing role. You'll be the connection point between our door-to-door sales team, homeowners, insurance adjusters, and our operations department — making sure nothing falls through the cracks and every project keeps moving.

WHAT YOU'LL DO

Insurance Claims Coordination

- Serve as the main point of contact between homeowners, sales reps, and insurance adjusters

- Track all open claims: adjuster appointments, inspection outcomes, approvals, and next steps

- Prepare job files and confirm all documentation is complete before every adjuster meeting

- Follow up proactively with adjusters and carriers to prevent delays

- Maintain organized insurance files including claim numbers, policy details, and all correspondence

Supplement Management

- Work with the sales team to identify and document supplement opportunities on approved claims

- Prepare and submit supplement requests with supporting photos, measurements, and line-item justifications

- Track supplement status and follow up until each one is resolved

- Log all supplement activity in JobNimbus and report weekly to leadership

Re-Inspection & Dispute Support

- Coordinate re-inspection requests for denied or underpaid claims

- Compile re-inspection packets: photos, scope comparisons, and written summaries

- Track outcomes and escalate unresolved disputes to the Director of Administrative Operations

Stakeholder Communication & Admin

- Route inbound calls, emails, and messages to the right team member — quickly and accurately

- Enter leads from the canvassing team into JobNimbus accurately and on time

- Relay job status updates between sales, operations, and the customer throughout each project

- Prepare weekly reports on open claims, supplement pipeline, re-inspection status, and outstanding approvals

- Support SOP compliance and flag documentation gaps to leadership

WHO WE'RE LOOKING FOR

Required:

- Exceptional organizational skills — you manage multiple open files and nothing slips

- Strong verbal and written communication — clear, professional, and responsive

- Proactive follow-through — you don't wait to be asked; you stay ahead of the process

- Comfortable with technology — you pick up new software quickly

- Ability to work in a fast-paced environment and manage competing priorities

- High school diploma or equivalent

Preferred (not required):

- Experience with JobNimbus, Xactimate, or similar CRM/project management tools

- Background in insurance, roofing, restoration, or construction

- Experience in a coordinator, dispatcher, or office administrator role
