Full Job Description

Overview

This is a high-variety, multi-functional role for someone who thrives on wearing many hats. The Project & Administrative Assistant provides direct daily support to the Vice President and the Office Manager, serving as the operational engine that keeps manufacturing projects organized and moving forward. Working primarily in Monday.com, Microsoft GP (Great Plains), and QuickBooks, this person builds and maintains project boards, keeps the VP on top of deadlines and deliverables, and supports day-to-day office operations including order entry and shipping coordination. The ideal candidate is highly organized, dependable, proactive, and comfortable switching between focused project work and hands-on administrative tasks throughout the day.

Key Responsibilities

Project Support (Vice President)

Build, maintain, and continuously update project boards in Monday.com to track manufacturing projects from kickoff through completion.
Keep the VP organized — tracking deadlines, milestones, action items, and open issues across multiple concurrent projects.
Proactively move projects forward by following up on outstanding items with internal teams, vendors, and partners.
Prepare status updates, reports, and materials for project and leadership meetings.
Anticipate the VP's needs and flag risks or delays before they become problems.

Order Entry & Shipping Coordination (Office Manager)

Enter and process orders accurately and on time.
Request, compare, and select shipping quotes across UPS, FedEx, USPS, and freight carriers to find the most cost-effective option.
Generate shipping labels, manifests, and tracking documentation; monitor shipments through delivery.
Maintain accurate order and shipping logs for reporting and audit purposes.

Invoicing & Records (Microsoft GP & QuickBooks)

Prepare, process, and reconcile invoices using Microsoft GP and QuickBooks.
Match shipping documentation to invoices and purchase orders; resolve discrepancies promptly.
Maintain organized digital and physical filing systems for projects, billing, shipping, and correspondence.
Draft, format, and proofread correspondence, reports, and internal documents.
Order and track office and shipping supplies.

Executive & Office Support

Provide day-to-day administrative support to both the VP and the Office Manager, balancing competing priorities and deadlines.
Schedule meetings, manage calendars, and coordinate travel arrangements as needed.
Assist with special projects as assigned by either supervisor.
Act as backup support across office functions — this role wears many hats with no exceptions.

Qualifications

Minimum 2 years of experience in project coordination, administrative support, invoicing, or logistics.
Hands-on experience with Monday.com (or a similar project management tool such as Asana, Trello, or Smartsheet), including building and managing boards.
Hands-on working knowledge of Microsoft GP (Great Plains).
Hands-on working knowledge of QuickBooks.
Practical experience with UPS, FedEx, and USPS shipping platforms and requesting freight/shipping quotes.
Strong organizational skills with the ability to manage multiple priorities and projects simultaneously.
Excellent written and verbal communication.
Comfortable taking direction from two supervisors and adapting to shifting priorities.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel).
High level of discretion, reliability, and professionalism.
Experience in or exposure to a manufacturing environment is a plus.
