Full Job Description

Job Summary

Golden HVAC is seeking an experienced, dependable and detail-oriented Bookkeeper / Office Administrative Assistant to support our daily accounting and office operations. This position is responsible for accounts payable, accounts receivable, payroll processing, recording customer payments and deposits, and maintaining accurate information in QuickBooks.

The ideal candidate is organized, comfortable working independently, and able to manage multiple priorities in a busy HVAC service and contracting office.

Responsibilities

Process accounts payable and accounts receivable
Enter customer payments and online deposits
Prepare checks for owner review and signature
Process payroll accurately and on schedule
Maintain accurate customer, vendor and payment records in QuickBooks
Monitor outstanding customer balances and assist with collection follow-up
Assist with insurance audits and routine financial reports
Maintain spreadsheets, electronic records and organized office files
Answer incoming telephone calls when needed
Prepare basic proposals and business correspondence for owner review
Communicate professionally with customers, vendors and employees
Coordinate with the company’s outside accountant
Perform other bookkeeping and administrative duties as needed

Qualifications

At least three years of bookkeeping, accounts payable and accounts receivable experience
Experience processing payroll
Proficiency with QuickBooks and Microsoft Excel
Strong attention to detail and organizational skills
Ability to handle confidential financial and employee information
Clear written and verbal communication skills
Ability to work independently and keep responsibilities current
HVAC, construction or service-company experience is preferred but not required
