Full Job Description

Accounting Assistant

Position Summary

The Administrative Professional provides administrative, clerical, and accounting support to ensure the efficient day-to-day operation of the office. This position serves as a key point of contact for internal staff, vendors and customers while supporting financial and operational processes. The ideal candidate is organized, detail-oriented, dependable, and capable of managing multiple priorities in a fast-paced environment.

Reports To

Controller

Essential Duties and Responsibilities

Accounting & Financial Support

Audit and verify store paperwork for completeness and accuracy.
Process Accounts Payable invoices and maintain vendor records.
Process Accounts Receivable transactions and assist with collections activities as needed.
Maintain and update spreadsheets, reports, and financial records.
Assist with month-end and other accounting-related activities as requested.

Operational Support

Coordinate with District Managers to resolve paperwork discrepancies.
Support special projects and departmental initiatives.
Perform other duties and responsibilities as assigned.

Administrative Support

Maintain organized filing systems, both electronic and physical.
Manage office correspondence, documents, and general administrative tasks.
Keep office work areas organized, professional, and well-maintained.
Answer and direct incoming telephone calls in a professional and courteous manner.
Receive and assist visitors, vendors, and delivery personnel as needed.

Qualifications

Required

High school diploma or equivalent.
Proficiency with Microsoft Office Suite, particularly Excel, Word, and Outlook.
Basic knowledge of accounting and office administrative practices.
Strong computer, data entry, and organizational skills.
Ability to maintain confidentiality and handle sensitive information appropriately.

Preferred

Associate degree in Business Administration, Accounting, or a related field.
Previous administrative, bookkeeping, accounting, or office support experience.
Experience working with accounting software and financial reporting systems.
