Full Job Description

Executive Assistant / Property Manager

We are seeking a highly organized, dependable, and proactive Executive Assistant / Property Manager to provide direct administrative support to ownership while assisting with the management of commercial properties and related financial responsibilities.

The ideal candidate is a self-starter who can anticipate needs, manage multiple priorities, handle confidential matters with discretion, and work independently with minimal supervision. This position requires someone who is comfortable taking initiative, solving problems, and keeping both executive and property-related matters organized and moving forward.

Primary Responsibilities:

Provide day-to-day executive and administrative support to ownership.
Manage calendars, schedule appointments and meetings, coordinate schedules, and assist with follow-up on outstanding matters.
Prepare correspondence, organize documents, maintain files, and handle confidential and sensitive information.
Assist with special projects and various business and personal administrative matters as needed.
Serve as a point of contact for vendors, tenants, accountants, contractors, and other business contacts.
Manage and prioritize incoming calls, emails, requests, and other communications.
Assist with the day-to-day management of commercial properties.
Coordinate maintenance requests, dispatch vendors and contractors, and follow projects through completion.
Maintain positive and professional relationships with tenants, vendors, and service providers.
Handle property-related bookkeeping, accounts payable and receivable, rent collection, and financial recordkeeping.
Work closely with the accountant to maintain accurate financial records and assist with financial reporting.
Assist with general office administration, filing, document management, reception coverage, and other administrative duties as needed.
Assist with marketing efforts, including coordinating advertising, preparing marketing materials, managing communications, and helping maintain the company's online and social media presence.
Assist with the planning and coordination of company events, including scheduling, vendors, invitations, logistics, setup, and other event-related details.

Qualifications:

Minimum of two years of experience as an Executive Assistant, Property Manager, Office Manager, or in a similar administrative role preferred.
Strong organizational skills and the ability to manage multiple responsibilities and deadlines.
Bookkeeping experience and proficiency in QuickBooks or comparable accounting software.
Ability to anticipate needs, take initiative, and solve problems independently.
Excellent written and verbal communication skills.
Professional demeanor and the ability to maintain strict confidentiality.
Strong computer skills, including Microsoft Word, Excel, and Outlook.
Dependable, detail-oriented, and comfortable working in a fast-paced environment.

The successful candidate will be someone who takes ownership of their responsibilities, follows through on tasks, and can be relied upon to keep both executive and property-related matters organized and on track.
