Job Overview

We are seeking a Full Time - dynamic, organized and detail-oriented Condominium Administrator to oversee the daily operations of our residential property management. This vital role involves managing tenant relations, coordinating maintenance, ensuring compliance with legal and housing regulations, and supporting property financials. The ideal candidate will bring a proactive approach, exceptional organizational skills, and a passion for delivering outstanding customer service. Join us to play a key role in creating a well-maintained, compliant, and welcoming community environment.

Duties

Coordinate property maintenance and facilities management activities to ensure safety, cleanliness, and operational efficiency
Utilize property management software such as Quickbooks for data entry, rent collection, and record keeping
Ensure compliance with Puerto Rico Condominium Act (Act No. 129-2020), the governing documents of each condominium, and all applicable federal, Puerto Rico, and local laws and regulations.
Handle tenant inquiries via phone and in person with professional office etiquette, resolving issues promptly and effectively
Implement and enforce the decisions of the Board of Directors and Unit Owners' Assembly.
Coordinate and supervise preventive and corrective maintenance of common areas and building systems.
Manage vendor bidding, contract negotiations, and contractor performance.
Oversee capital improvement projects and major repairs.
Conduct regular property inspections and recommend corrective actions.
Organize and attend Board of Directors meetings, Annual and Special Meetings of Unit Owners, and prepare meeting agendas and minutes.
Maintain official association records, contracts, permits, insurance policies, and corporate documents.
Respond promptly and professionally to homeowner and resident inquiries, complaints, and maintenance requests.
Coordinate insurance claims and emergency response activities when necessary.
Work closely with attorneys, accountants, engineers, architects, auditors, and other consultants.
Ensure compliance with association rules, regulations, and community standards.
Prepare management reports and provide recommendations to the Board of Directors.
