Job Overview

We are seeking a proactive and organized Front Desk Receptionist to serve as the first point of contact for our patients and visitors. The ideal candidate will possess excellent communication skills, technical proficiency, and a friendly demeanor. This role involves managing front desk operations, providing exceptional customer service, and supporting administrative functions to ensure smooth practice workflow.

Duties

Greet patients and visitors warmly, establishing a positive first impression of the practice.
Answer multi-line phone systems promptly and professionally, directing calls efficiently.
Schedule appointments accurately using calendar management tools while maintaining organized records.
Manage patient check-in and check-out processes with attention to detail and confidentiality.
Handle data entry tasks, update patient information, and maintain filing systems with precision.
Assist with office management duties such as inventory tracking and supply organization.
Provide excellent customer support by addressing inquiries, resolving concerns, and ensuring patient satisfaction.
Utilize productivity software including Microsoft Office applications, spreadsheets, and word processing tools to support administrative tasks.

Requirements

Proven clerical experience in an office or healthcare setting with strong organizational skills.
Proficiency in computer literacy, including familiarity with Microsoft Office Suite (Word, Excel) and data entry.
Experience with multi-line phone systems and phone etiquette is essential.
Bilingual abilities are highly desirable to effectively communicate with diverse patient populations.
Knowledge of QuickBooks or similar accounting software is a plus for handling billing or financial records.
Excellent interpersonal skills with a focus on customer service and client communication.
Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment.
Previous office management or administrative experience is preferred but not mandatory; training will be provided for the right candidate.
