Full Job Description

Position Summary

Assists with administrative and financial coordination across approximately multiple operating companies. This hybrid role combines executive support, insurance coordination, and accounting support responsibilities. Plays a key part in supporting financial operations, coordinating insurance coverage, managing facility-related expenses, and maintaining accurate financial records across multiple entities.

Essential Duties and Responsibilities

Executive & Administrative Support

Provide high-level administrative and operational support to the CFO.
Tracks projects and administrative functions across multiple operating companies.
Organizes and maintains financial and administrative documentation.
Assist with scheduling, correspondence, and follow-up on operational matters.
Assist with travel arrangements for company executives

Insurance Administration

Obtains quotes and manages commercial general liability and related insurance coverage for multiple operating entities.
Tracks insurance renewals, certificates of insurance, and policy documentation.
Communicates with insurance brokers and carriers regarding coverage, renewals, and
documentation.
Maintains organized insurance records and compliance tracking.

Accounting & Financial Support

Performs bank reconciliations for multiple company bank accounts.
Tracks and processes facility-related expenses and payments.
Supports accounts payable activities, including invoice review and payment coordination.
Maintain organized financial records for multiple operating entities.
Assist with financial tracking by using accounting systems and spreadsheets.

Office & Operations Coordination

Support general office administration and operational coordination.
Maintain tracking systems for operational expenses and documentation.

Minimum Qualifications (Knowledge, Skills & Abilities)

Fluent in Mandarin and English (speaking, reading, and writing) Preferred.
3-5 years of experience in executive support, office management, accounting support, or similar roles.
Experience with bank reconciliations, bookkeeping, or accounts payable functions preferred.
Experience supporting multiple entities or multi-company operations is a plus.
Must have the ability to make decisions independently and exercise discretion.
Proficiency in Microsoft Excel and accounting software (such as QuickBooks, NetSuite, or similar).
Strong organizational skills with exceptional attention to detail.
Ability to manage multiple priorities and confidential financial information
