About Loudoun Test Prep

Loudoun Test Prep is seeking a highly organized, proactive, and people-oriented Operations & Communications Manager to join our growing team.

At LTP, relationships matter. We work closely with students and families throughout important academic milestones, and we pride ourselves on maintaining a high level of professionalism, responsiveness, organization, and trust.

This role is ideal for someone who enjoys coordinating many moving parts, communicating with a wide variety of people, thinking ahead, and helping a team operate smoothly behind the scenes. The right candidate will become a central part of our operational flow and family experience.

Over time, this role will grow into a highly autonomous operational leadership position focused on ensuring the day-to-day logistics and communications of the company run smoothly and proactively.

What This Role Looks Like

This role combines operational coordination, family communication, scheduling management, and client support. You will work closely with students, parents, tutors, and leadership to ensure that our programs run smoothly and that families receive a consistently high-quality experience.

This is not a traditional “clock in / clock out” administrative role. We offer substantial flexibility and autonomy, but we also rely on strong responsiveness, ownership, and proactive communication during busy periods.

The right candidate values flexibility while understanding the importance of timely follow-through, operational consistency, and thinking ahead.

As this person develops a strong understanding of our programs and processes, they will become an important point of communication for prospective families and play a key role in helping maintain the high level of trust and professionalism that families expect from LTP.

Responsibilities

Family & Student Communication

Coordinate progress meetings and scheduling with families
Send reminders and important program communications
Respond professionally and promptly to operational and scheduling questions
Help ensure students and parents stay informed throughout their programs
Help maintain a warm, professional, and responsive experience for families

Prospective Family Communication & Program Guidance

Communicate with prospective families regarding program options and scheduling
Help guide parents through the onboarding and enrollment process
Learn LTP’s programs thoroughly in order to confidently and thoughtfully discuss recommendations with families
Represent Loudoun Test Prep professionally and warmly in phone calls, emails, and parent conversations
Help maintain the high level of trust, responsiveness, and professionalism that families expect from LTP

Scheduling & Operations

Coordinate SAT/ACT classes, tutoring schedules, and makeup sessions
Manage calendars, spreadsheets, rosters, and scheduling systems
Track scheduling changes and ensure information remains accurate and updated
Help coordinate testing days, open houses, and operational logistics
Work proactively to anticipate and prevent scheduling or communication issues

Tutor Communication & Support

Coordinate tutor schedules and availability
Ensure instructors have updated student information and scheduling details
Help maintain clear communication across the instructional team
Support operational consistency across multiple programs
Coordinate instructor meetings and scheduling updates when needed

Administrative & Process Coordination

Maintain operational systems and organizational workflows
Track follow-through on important action items and deadlines
Assist with payment tracking and administrative logistics
Help ensure operational details do not fall through the cracks
Maintain accurate records and internal communication systems

Important Notes About This Role

This is a hybrid position with occasional onsite responsibilities in Ashburn.
Flexibility is important, but responsiveness during busy operational periods is essential.
Some evening and weekend communication may occasionally be required during active testing and class scheduling periods.
The workload and scheduling needs fluctuate throughout the year depending on SAT/ACT seasons and program scheduling.
Long-term commitment, reliability, and operational ownership are highly valued at LTP.

You do not need advanced technical experience for this role, but comfort with learning systems quickly is important.
