At Allergy Clear, we partner with physician practices to identify and treat allergic disease through a fully managed allergy testing and immunotherapy program.We're looking for an organized, proactive, relationship-oriented individual who enjoys helping patients, coordinating care, and making sure nothing falls through the cracks.You'll play a vital role in connecting patients with the care they need while supporting our physician partners and clinical team.

Job Summary

We are seeking a dynamic and detail-oriented Patient Scheduling Coordinator to join our healthcare team. In this vital role, you will serve as the first point of contact for patients, ensuring seamless appointment scheduling, efficient management of electronic health records (EHR), and excellent patient service. Your proactive approach will help optimize clinic operations, support clinical workflows, and uphold the highest standards of confidentiality and professionalism. This position offers an exciting opportunity to contribute to quality patient care while utilizing your strong organizational and technical skills.

Duties

Coordinate and schedule patient appointments across multiple healthcare departments using advanced EHR systems such as Epic, Meditech, Athenahealth, and eClinicalWorks.
Verify insurance coverage, perform insurance eligibility checks, and handle insurance verification processes to facilitate smooth billing and reimbursement.
Manage electronic health records (EHR) with accuracy by reviewing documentation, updating patient information, and ensuring compliance with HIPAA and clinical confidentiality policies.
Assist patients with intake procedures, including collecting medical history, explaining clinic policies, and providing clear instructions for upcoming visits.
Utilize multi-line phone systems to answer inquiries promptly, provide appointment reminders, and direct calls efficiently while maintaining professional phone etiquette.
Support medical billing activities by understanding CPT coding, ICD-9/10 coding standards, and Medicare requirements to ensure accurate documentation review and coding procedures.
Maintain organized medical records filing systems, manage electronic health record (EHR) management tasks using platforms like Meditech or Eaglesoft, and ensure data integrity at all times.
Collaborate with clinical staff to coordinate care plans, schedule follow-up visits, and facilitate communication between providers and patients for optimal care delivery.

Requirements

Proven experience in medical scheduling within a clinic or healthcare setting, with familiarity in medical offices preferred.
Strong knowledge of EMR/EHR systems such as ECW, Epic, Athenahealth.
Proficiency in Google Drive is essential.
Solid understanding of medical terminology, medical billing procedures including CPT coding and ICD-10/ICD-9 coding standards.
Experience with insurance verification processes for Medicare and other health plans; knowledge of health insurance policies is highly desirable.
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment while maintaining attention to detail.
Exceptional customer service skills complemented by professional phone etiquette and clear communication abilities; bilingual skills are a plus.
Ability to maintain strict confidentiality in accordance with HIPAA regulations and clinical confidentiality policies.
Office management experience including clerical support tasks such as filing, data entry (10 key typing), and managing multi-line phone systems.
