Full Job Description

AMAX Tax Pro is a fast-growing accounting and tax firm dedicated to providing exceptional accounting, bookkeeping, payroll, tax preparation, and business advisory services to small and medium-sized businesses. We are seeking an experienced, detail-oriented, and highly organized Advanced Bilingual Bookkeeper / Staff Accountant who thrives in a fast-paced environment and takes pride in delivering accurate financial reporting.

This is not an entry-level bookkeeping position. We are looking for someone with strong accounting knowledge who understands how bookkeeping impacts tax preparation and financial reporting.

Position Summary

The Advanced Bookkeeper / Staff Accountant will be responsible for managing a portfolio of business clients by maintaining accurate accounting records, performing reconciliations, preparing financial statements, processing payroll, filing sales tax returns, and ensuring clients' books are tax-ready throughout the year.

The ideal candidate has extensive experience with QuickBooks Desktop, understands accounting principles and tax reporting requirements, and can work independently with minimal supervision.

Primary Responsibilities

Manage monthly bookkeeping for multiple business clients across various industries.
Maintain accurate General Ledger accounts and perform month-end and year-end closing procedures.
Prepare and reconcile bank accounts, credit cards, loans, and other balance sheet accounts.
Record and analyze financial transactions using proper accounting principles.
Prepare adjusting and correcting Journal Entries.
Review and maintain Chart of Accounts for accuracy.
Prepare monthly, quarterly, and annual Balance Sheets and Profit & Loss Statements.
Analyze financial statements and identify discrepancies requiring correction.
Process payroll accurately and timely.
Prepare and file Sales & Use Tax Returns.
Assist with payroll tax compliance.
Prepare books for tax return preparation and communicate directly with tax preparers regarding necessary adjustments.
Review fixed assets and depreciation schedules when applicable.
Maintain supporting schedules and accounting workpapers.
Assist with year-end closing and tax planning projects.
Follow up with clients regarding missing documentation.
Ensure compliance with GAAP and applicable federal and state tax regulations.
Maintain complete confidentiality of client financial information.

Required Qualifications

Minimum 3 years of bookkeeping/accounting experience in a public accounting or tax firm.
Fluency in English and Spanish (required).
Advanced knowledge of QuickBooks Desktop (Required).
Strong working knowledge of QuickBooks Online.
Strong understanding of:
General Ledger Accounting
Double-Entry Accounting
Journal Entries
Accrual and Cash Basis Accounting
Bank Reconciliations
Financial Statement Preparation
Payroll Processing
Sales & Use Tax
Payroll Tax Reporting
Ability to prepare accurate Balance Sheets and Profit & Loss Statements for tax return preparation.
Experience working with multiple business entities, including LLCs, S Corporations, C Corporations, Partnerships, and Sole Proprietorships.
Strong knowledge of business tax deductions and accounting treatment of common business transactions.
Excellent analytical and problem-solving skills.
High attention to detail with exceptional organizational skills.
Ability to prioritize multiple deadlines while maintaining accuracy.

Preferred Qualifications

Associate's or Bachelor's Degree in Accounting, Finance, or related field.
Experience working in a CPA firm or tax office.
Knowledge of IRS regulations affecting bookkeeping and payroll.
Experience with payroll platforms such as ADP.
Experience preparing year-end adjusting entries for tax returns.
Knowledge of Forms 941, 940, W-2, 1099, and Florida Sales Tax.
